Privacy notice
How we look after the information you give us.
This notice explains what personal information the Mayor's Cup system collects, why, who can see it, how long we keep it and what you can ask us to do. We handle personal information following the principles of the Data Protection and Privacy Act, 2019 of Uganda.
What we collect
- Team managers: name, phone, email and the team's details and payments.
- Players and officials: full name, date of birth, sex, phone, village/ward, National Identification Number (NIN, where required), a passport-style photo, and for players under 18 a guardian's consent and an LC1 letter.
- Screening and licensing: whether a person was cleared, and the licence and album records that follow.
- Visitors: messages sent through the contact form and basic technical data needed to keep the site safe (such as the network address used for rate-limiting).
Why we collect it
To register teams and people, check age and eligibility, issue licences, run fixtures and results, keep players healthy and safe, and prevent one person from playing for two teams. We do not sell personal information.
Who can see it
- The public sees team names, fixtures, results, scorers and line-ups, which may include a player's name, shirt number and photo. Licence checks show only limited details.
- Authorised staff (tournament administrators, supervisors and the screening team) see registration details for their work. NINs are stored encrypted and are shown masked.
- Health partners receive only what is needed to offer check-ups to players.
Children
For players under 18 we require a parent or guardian's consent and an LC1 letter. These documents are kept in a private store that is not reachable from the public website.
How we protect it
Access is limited by role and recorded in an audit log; sensitive identifiers and private documents are encrypted or stored privately; uploads are checked and cleaned; and backups can be encrypted.
How long we keep it
Registration and licence records are kept for the tournament season and the archive of results, then reviewed. Private documents and photos are removed when a person's record is deleted.
Your choices
You may ask to see the information we hold about you (or your child), to have it corrected, or to have it deleted, by contacting the Sports Office below. A person who is deleted is removed from the registry, rosters, licensing and albums; match results already published may remain in anonymised form.
